Operations: 

The Operations page provides dispatchers with a user-friendly and efficient interface to create manual trips, assign trips to drivers, and monitor trip progress in real-time. With trip cards, live data updates, driver statuses, and the Live GPS Map, dispatchers have the necessary tools to ensure smooth and effective NEMT operations. This section provides an overview of the key components and functionalities available on the Operations page. 

Trips & Routes Pane: 

  • The Trips & Routes pane displays unassigned trips for the selected day. It provides an organized view of trip cards that contain specific trip details, such as seating needs, companion riders, estimated trip duration, and more. 

  • Dispatchers can easily review and manage unassigned trips, assign them to drivers, and optimize routes for efficient transportation. 

Runs Pane: 

  • The Runs pane showcases trip cards of assigned trips. Once a trip is assigned to a driver, its trip card appears in this pane. 

  • Live data is displayed on the trip cards, providing real-time updates on trip progress.  

  • Time stamps indicate when the driver has arrived at the pickup location, onboarded.

Driver Pane: 

  • The Driver pane provides a comprehensive view of all scheduled drivers for the selected day. 

  • Each driver's status is clearly indicated, showing whether they are available, arrived, busy, or about to clear soon. This allows dispatchers to have an instant overview of driver availability and workload distribution. 

Live GPS Map: 

  • The operations page also includes a Live GPS Map feature, which provides a visual representation of drivers' real-time locations. 

  • Driver icons on the map are color-coded to represent their status, enabling dispatchers to quickly identify the current status of each driver. 

  • The Live GPS Map enhances overall fleet management and enables dispatchers to make informed decisions based on driver location and availability. 

Map Settings: 

  • There are map settings which are configurable by the user where you can choose to see the related driver, specific paths.  

  • Click on the Settings icon Settings outline on the map to view the settings. 

 

 

 

 

 

Trip Assignment: 

Users can do the assignment through multiple ways. All the options are described below: 

Option #1: Open suggestions via keyboard command: 

  • When trip card is selected, the user must use a keyboard command to receive the driver suggestions in the Driver Pane. 

  • Command for Windows and Linux users is Ctrl+D 

  • Command for Mac users is Cmd+D  

Option #2: Double click on the trip or route card: 

  • User can double click on the trip card and open the driver suggestion. 

Option #3: Open suggestions from trip/route card action options: 

  • On a selected trip/route card, user just must click on the 3-dot icon present on the trip/route card and see an option to "Suggest driver" to generate the suggestion in the Driver Pane. 

The drivers are suggested based on different factors like 

  • Driver’s shift availability. 

  • Driver to reach on Pickup location on time. 

  • Driver’s vehicle has enough seating capacity and accommodate the seating. 

  • Driver’s availability and they are not assigned to another run in the same time

Driver Notification and Trip Status 

  1. The assigned driver will receive a notification via the Tobi Driver app, indicating they have been assigned a new trip. 

  1. This notification does not require immediate action; it serves as an alert for the driver. - When the driver selects "Start Run" in the driver app, the trip card in the Runs pane will reflect the updated status in real-time.  

  1. Once the run is complete, the trip will be marked as "complete" with corresponding time stamps. 

Route Creation:  

Route is an entity which consists of multiple trips for the same date of service.  

How to create a route: 

  1. To make a route, the user must select the trip cards using Ctrl/Cmd+Click. Similarly, to deselect the card, the user will use Ctrl/Cmd+click. 

  1. Command for Windows and Linux users is Ctrl+Click 

  1. Command for Mac users is Cmd+Click 

Rules for Route Creation: 

  1. You cannot include below type of trips to a route. 

  1. Driver wait trips 

  1. Will calls. 

  1. Completed/assigned/waiting status trips. 

  1. Trips from different fleets unless you have subcontracting enabled for the account. 

Re-arrange Itinerary: 

  1. You can re-arrange the itinerary by just dragging the trip nodes up and down.  

                                                 

Trip card actions: 

  1. Add an unassigned trip to a route or to an unassigned/ongoing run: 

  • You can add the unassigned trip to a route or run by just selecting the trip card and click on the menu action option “Add to Run” of requires route or run card. 

  1. Cancel a trip: 

  • You can cancel a trip or entire booking and provide a cancellation reason.  

  1. Revive a trip: 

  • You can revive a canceled trip. Upon revival, it will come back to unassigned state and will be available for assignment.  

  1. View trip ticket 

  • You can view the trip ticket of a completed trip and view all the information related to driver like signature, client signature, actual PU and Drop off time. 

  • You can save the trip ticket as an image in your local machine. 

 

Run Card Actions: 

  1. Dismantle Run 

  • You can dismantle a run and move it to unassigned state.  

  • The multi-trip run will convert into single trip card and the driver assignment will be removed. 

  • You can dismantle a run up to its status onboard. 

  1. Unassign Run 

  • You can unassign a multi-trip run in which driver assignment will be removed but multi-trip route. 

  1. Close run 

  • You can close the run-in case it isn’t completed by the driver app. 

  • Add the pickup and onboard and offboard times manually and close run. 

 

 

Driver Card Actions: 

  1. Update shift 

  • You can update the shift by clicking on the shift bar. 

  • Note- You won’t be able to update the shift if the assigned runs fall out of shift. 

  1. Remove Shift 

  • You can remove the shift for the selected date of service. 

  • Click on the shift bar and select “Trash icon” to remove the shift. 

  • Note- You won’t be able to remove the shift if there are run already assigned.  

  1. Mark driver on leave 

  • You can mark the driver on leave for the selected date of service. 

  • Click on the shift bar and select “On leave”.  

  • With this action, drivers will no longer appear during trip assignment. 

  • Note- You won’t be able to mark the driver on leave if there are run already assigned.  

  1. Add Driver shift. 

  • You can create drivers shift for the selected date of service from operation screen. 

  • Click on the “+” icon located on the top right on driver’s pane. 

  • Select the driver from the list, fleet, shift time and vehicle for the day.  

  • Upon save, the driver will start to appear in the driver pane for trip assignment. 

  1. Screen Filters: 

  1. You can filter the trips/runs/driver by global filters. 

  • Date 

  • Fleet 

  • Service Area 

  • Vehicle Mode 

Trip/routes pane filters: 

  • In conjunction with screen filters, you can filter the trips and routes by several options like client name, phone, address, status, account, source, account type etc. 

Runs pane filters: 

  • In conjunction with screen filters, you can filter the runs by search option like client name, phone, run status.
